Job Description:

We are seeking a competent, bright, proactive self-motivated, friendly receptionist with 1 year's minimum relevant experience for a welcoming, respected Asset Management firm in the West End. Graduate preferable or Quest/Secretarial School.

Core Receptionist Responsibilities:

Ensure that reception is covered at all times 8a.m. - 6p.m. (8am - 5pm or 9am - 6pm)

  • Answer any switchboard calls, greeting & directing callers & taking messages

  • Greet and look after visitors and provide refreshments for meetings

  • Welcoming visitors to dining room lunches and helping with set up when required

  • Ensure good presentation of public areas and meeting rooms

  • Manage and record the booking system for internal meetings, coordinating the diary with the other companies.

  • Deliveries, couriers, post - including taking post to other building - main point of contact.

Administration:

  • General office assistance e.g. booking restaurants/hotels/travel/expenses, binding, photocopying, printing etc.

  • Ordering office supplies and ensuring deliveries are put away tidily (stationery, refreshments, water, paper, lightbulbs, towels, flowers etc.)

  • Assistance where required with company events and provide reception cover in the evening as required (2/3 times a year)

  • Distributing various publications (e.g. Press-cuttings) in the mornings

  • First aid & Fire Marshall training to be completed

Office Maintenance:

  • First point of contact for all builders, office maintenance workers and ensuring any weekend/out of hours works are correctly booked into the calendar and security is arranged

  • First point of contact for staff to report office issues

  • Responsible for maintaining the day to day Health and Safety in the office

  • Assist with the general maintenance of the office- including building maintenance, coffee machines, redecoration etc. - reporting into HR Manager

  • Weekly fire alarm testing and collating documents for annual H&S audit
