Job Description:

Leading Accountancy firm based in the city seek a Switcboard operator with Reception support, You will be the first point of contact for processing incoming calls, ensuring that the highest standards of client service are always maintained. Providing relief to reception as required.

Core duties will include:

Answer and announce all incoming calls via the Avaya switchboard within 3 rings.

Update switchboard with staff and contact changes.

To offer all incoming callers a range of options for leaving messages.

To ensure open lines of communication at all times with other facilities team members.

To ensure a professional working manner at all times.

To become familiar with clients and client contacts in order to build rapport and start recognising callers.

To ensure that all matters are dealt with in an appropriate manner and to undertake other duties within the facilities team as and when required by the reception supervisor.

To carry out any other ad hoc duties as directed by the reception supervisor.

Carry out any reception duties as and when required.

Maintain front of house areas including meeting rooms.

Meet and greet guests in a confident and professional manner.

Manage the meeting room booking system.

Liaising with catering and post room to ensure smooth running of the meeting room suite.

Issuing Temporary passes and accurately logging into the system.

Ideal candidates must have the following skills and experience:

Experience using PC based switchboard - knowledge of the Avaya system would be advantageous.

Excellent communication and interpersonal skills.

Confident and resilient, experience of working with all levels of staff.

To have a professional ethos and telephone manner/approach to both external and internal clients.

Exposure to a professional practice in a mid-size environment desirable.

Self-motivated and able to work on own initiative within a team environment.

Reliable and flexible attitude - ability to remain calm under pressure.

Strong team player - willing to support colleagues within the department.

Confidential, Friendly and enthusiastic. Intermediate level or above in Microsoft office.
