Job Description:

MON- FRI POSITION, 830am-530pm with minimum of 3 years office experience to manage and be fully responsible for day to day operations of the front desk and administration of the busy business centre with immediate start.

Duties:-

  • Meet and greet all visitors in a professional manner
  • Collect, sign for and distribute all incoming mail as necessary
  • General reception work as dealing with all aspects of telephone answering services
  • Responsible for liaising with management regarding centre maintenance and general reporting.
  • Responsible for setting up / admin for all incoming and outgoing clients
  • Assist clients generally and keeping log books and records of any additional service in order for invoices to be raised.Set up meeting room service facilities.Ensure the Meeting Room is clean and tidy after client use.
  • Prepare and raise monthly invoices and statements
  • Deal with day to day operations and liaising/ report to management at all times.
  • Be responsible for ensuring adequate stock of stationary, cleaning and pantry items and making sure these are always readily available.

SKILLS & KNOWLEDGE REQUIRED

Candidate must have:-

- Confidence and have the ability to communicate with customers and clients

- excellent communication skills, be fluent and articulate in spoken and written English.

- be a quick learner with good technical skills

- essential to be computer literate and excellent in Microsoft Office and Excel.

- generally be technologically advanced

- be able to multi task

- able to work autonomously and part of a team

- be organised and accurate in recording

- be punctual and good with time keeping

The Receptionist/ office administrator is the face of the Centre and therefore, it is important that a professional image is portrayed to clients, visitors and prospective clients alike at all times.

He/She will need to be very well presented, approachable, welcoming with a flair of establishing very good working relationships with clients.

Previous office experience is essential for this role.

Hand over will be given to the successful applicant.
