Job Description:

An exciting opportunity has arisen for a Junior Office Administrator & Receptionist to join UK's largest independent events organiser. Your primary responsibility will be managing the reception area, supporting the Office Manager with the day to day running of the office as well as supporting a team of 3 PAs. Ideally you will have previous office/administrative experience, have excellent organisational skills and be IT literate.

Core Key Responsibilities:

Reception & Admin support to the executive office

  • Responsible for incoming calls
  • Sorting through incoming post & distributing accordingly
  • Managing incoming general email enquires
  • Maintaining the office with weekly flower order, fruit order & all stock & stationery cupboards.
  • Duty Director administration

Support to a team of 3 PAs

  • Setting up meeting rooms
  • Binding materials and collating information
  • Meeting and greeting guests when needed
  • Ordering & making refreshments for meetings and directors
  • Assisting the EA with ad-hoc projects and tasks
  • Expenses; reconciling credit card statements; purchase orders
  • Assisting with external meeting room bookings
  • Booking couriers & taxis

Office Manager support

  • Health & Safety related administrative duties
  • Assisting in maintaining a presentable office wing
  • Keeping meeting rooms in order and other communal areas

Core Skills Required:

  • Previous office / administrative experience
  • Excellent organisational skills, with a good attention to detail
  • Intermediate Microsoft Word; Basic Excel and PowerPoint are a must
  • The ability to work on own initiative
  • Excellent written and spoken command of the English language
  • Professional attitude and presentation
  • Pleasant telephone manner
  • A tenacious 'can do' approach to work

This is a fantastic role as a stepping stone for future development opportunities such as Junior PA, Senior Office Administrator and Office Management
