Gi Group Doncaster are recruiting for an experienced Receptionist on behalf of a market leading and innovative manufacturing client on the outskirts of Doncaster.

The successful candidate must have a clean UK driving license with a car (or prepared to drive the company car), Switchboard experience and experience working within a corporate business.

HOURS
Working a rotational basis of the following:

Week 1 - 8am to 4pm Monday to Friday
Week 2 - 8:45am to 5pm Monday to Thursday, 8:45am to 4pm Friday

DUTIES INCLUDE; BUT NOT LIMITED TO:
- Answering incoming calls and transferring them to relevant staff members
- Taking concise messages in the absence of the point of contact and to pass them on immediately via email or voicemail
- Welcoming all visitors and letting their point of contact know immediately of their arrival
- Ensuring that the correct health & safety procedures are followed for any visitors to the premises (e.g. signing in and our, issuing visitor passes, issuing PPE etc.)
- Remotely monitor and operate security access gates
- Update the reception welcome screen on a daily basis
- Receive company post; opening (excluding confidential), sorting and distributing internally appropriately
- Franking all post and organising special deliveries
- Ensuring all mail is ready to be sent out daily in time for Royal Mail collection deadlines
- Check and sign for various deliveries for office departments
- Organise and prepare refreshments for visitors/meetings and customer visits
- Monitoring appointments for company meeting rooms
- Open and/or close the Reception area each day; including lighting and TVs.
- Helping with refreshments and catering including; checking the schedule for any drinks & lunches that may be required for the week ahead and weekly shopping trips
- Ensuring internal telephone lists are kept up to date and distributed as necessary, liaising with HR for starters and leavers
- Liaise with the franking machine supplier and Royal Mail for all aspects of franking supplies, deliveries etc and to ensure that all staff are aware of special delivery dates, times etc.
- Distribution of company faxes from the Directors' suite to the relevant departments and replenish copiers/machines with paper
- Update notice boards with bulletins and announcements as required
- Input Showroom data onto showroom tour log from form completed by customer

- Offering departmental support including;
- Provide support to the Marketing Department when duties allow by helping to collate, package and send out company mail shots, bulletins to retailers along with the related points of sale.
- Assist the Finance department with collation and posting of monthly statements
- Assist department with the updating of the holiday calendar for secretarial department and ASMs
- Ad hoc support to PA's & Secretaries when possible

THE CANDIDATE
- Must have previous reception experience within a corporate business/environment
- Must have previous experience using switchboards (current system is Avaya - IP Office)
- Experience using electronic franking machines
- IT literate and proficient with Microsoft Office Products
- Excellent communication, interpersonal skills and telephone manner
- Articulate, presentable and approachable due to being the face of the company
- Warm and welcoming at all times
- Ability to work well under pressure and to strict confidentiality
- Must have a Full UK Driving License with no points and be prepared to drive company cars to undertake shopping duties, or if uses own car must ensure car is insured for business use
