Immediate Start and Interviews

£20k + Great Benefits

Guildford, Surrey

To provide a high standard of administrative and front of house support at our Guildford office, playing an important role in the smooth running of a busy office.

Duties include:

Reception:

  • To answer all incoming calls in a timely fashion and announce calls
  • To greet all visitors coming into the reception area with the utmost professional courtesy and respect
  • To be the point of contact for visitor parking and to monitor and keep records of bookings for such visitor spaces
  • To book meeting rooms, liaise with all staff and co-ordinate the booking system to ensure it is kept up to date
  • To cover set up of meeting rooms
  • To ensure all meeting rooms are fully equipped with relevant
  • To prepare refreshments for meetings and office events
  • To order lunches and canapes for events as required
  • To support office events when required
  • To book couriers, flowers, taxis for clients and staff as required
  • Manage incoming/outgoing post requirements for the office
  • To update the internal telephone list and distribute hard copies to the office
  • Update the office Intranet page and ensure changes are made promptly
  • To keep accurate records of the office petty cash system and collate receipts accordingly
  • To pay any office invoices and carry out the banking for the office as required
  • Prepare, update and distribute office visitor packs

Administration

  • To liaise with the office facilities management company, logging office repair calls and escalating as required
  • Prepare and collate monthly office newsletter
  • Printing, Binding, Scanning and Photocopying documentation
  • Entering business development activity and data onto the firm's sales contact database
  • Arranging seminars, workshops
  • Assisting with client and networking events
