Job Description:

We are looking for a dynamic and empathetic Receptionist and Admissions Assistant ready to make a real difference for our School and for all our students. Gosfield is a small family School where you are free to work and innovate in a gorgeous green environment, where everyone is treated with warm respect and where everyone strives to reach and exceed their personal best.

Reporting directly to the School Registrar you will be the first and primary representative of our School for all visitors, callers and online enquiries, and thereby make an essential contribution to the way that our School is perceived by all stakeholders. In addition, you will assist the School Registrar in ensuring the empathetic and meticulous administration of the process to help families to decide whether we are the right School for their children.

Main Duties: The following is typical of the duties the post holder will be expected to perform.

  1. To be first responder to all personal visitors to our School all telephone calls that come to the main switchboard and emails received.
  2. To quickly develop an understanding of our School's people and operations so that you can immediately provide information and solutions to callers' enquiries, or quickly and effectively transfer them to the correct person.
  3. To take personal pride in ensuring that all interactions with external stakeholders, in person, by phone or online, are conducted in a manner that you would expect when dealing with a premium professional services provider.
  4. To understand our commitment to Grow, Achieve and Inspire and the importance of children having a happy experience during their education at our School, and to seek ways to manifest these elements of our ethos in all that you do.
  5. To learn how to conduct School tours and occasionally conduct these tours as part of the admissions process, or for other purposes for other types of visitors.
  6. To develop good working knowledge of GDPR and to help ensure that all our activities are compliant.
  7. To attend a small number of important School occasions that happen outside of normal working hours approximately four times per term
  8. To assist in maintaining a healthy, safe and secure environment and to act in accordance with the school policies and procedures.

Person Specification: The following skills and attributes are highly desirable for candidates considering applying for this role:

  1. Client/Customer Service experience, and an innate desire to ensure that the families that we serve receive exceptional service in all that we do outside of the direct education of their children, (which is equally well delivered by our teaching and learning function).
  2. 'Unflappable' - ready and able to warmly welcome all visitors and callers
  3. Attention to detail and methodical approach - you will need to conduct the administration of our admissions and registration process in very fine detail, ensuring that every aspect of that work is completed in an accurate and timely manner.
  4. Project management/workflow, administration and online system experience is required to both keep track of multiple case work and enter data onto a proprietary MI system, and also onto an Excel spreadsheet used to manage casework.
  5. Diligent and discreet - in both aspects of this role you will manage confidential information. Utmost discretion is an essential prerequisite for this role.
  6. Experience and success in a client/customer facing role within a professional services setting is desirable, whilst experience in a similar role within another School or educational provider may be advantageous, but is not essential.
  7. Impeccable written and spoken English, spelling, grammar and punctuation is highly desirable. This will be tested as part of the interview process for short listed applicants, as well as an acceptable grasp of numeracy relating to the administrative aspects of this role.
  8. The successful applicant will need to complete an enhanced DBS certification application. Applicants with criminal or personal records which may result in being barred from obtaining this status need not apply.

This position is 52 weeks, not term-time only.
