Role and responsibilities
• Primary responsibility for maintaining the Office Reception, face to face with Clients, Customers and Visitors for the ITS Office at Gatwick
• To welcome visitors to Gatwick ensuring they are signed in and out
• Order stationery and deal with resulting administration
• Deal with designated administration tasks
• Order stationery and furniture for Gatwick site
• Maintain Connex data
• Switchboard Operations
• Maintain and update telephone lists
• Keep reception tidy
• Book couriers and take delivery of incoming parcels
• Book hotel accommodation and associated items for all appropriate staff
• Liaise with cleaning staff
• Deliver telephone training
• Produce monthly and ad-hoc reports
• Assist with HR administration tasks
• Co-ordinate security system and its administration
• Apply for references for all new starters
• Log operatives appraisal forms

Key Responsibilities
• Ensure that all operations carried out within the area of responsibility are undertaken with full regard for the safety of visitors, other members of staff and yourself.
• Maintain office systems to deal efficiently with paper flow; and the organisation and storage of paperwork, documents and computer based information
• Keep Senior Contracts Manager informed of any issues/problems that could affect safety, quality or cost in the Gatwick office
• Liaise with members of staff in other departments and external contacts
• Deal with internal and external queries, accurately and efficiently
• Knowledge of Highways and Transportation
• To carry out other appropriate duties as assigned by your Line Manager

General Safety Responsibilities
You must be committed to the Company's General Safety Policy statement and the Company's safety programme and be aware of his/her contribution to the programme, including requirement to monitor safety performance and compliance with the systems established to assist in maintaining high safety standards. You must be familiar with the safety legislation that is relevant to his/her post and comply with the necessary statutory requirements. These will include the Health & Safety at Work Act.

You will
• Comply with all safety related rules, policies, directives and procedures authorised by senior management.
• Take reasonable care of oneself and of other people who may be affected by one's actions and omissions at work.
• Co-operate with the management of the company, so far as is reasonable, regarding compliance with any statutory provisions.
• Not to interfere with or misuse anything provided in the interests of health, safety and welfare in pursuance of any relevant statutory provisions and comply with that Legislation which is specific to the post.

Required Skills and knowledge
• Experience on Highway infrastructure, transport systems.
• An understanding of safety legislation and corporate safety procedures.
• Effective communication skills.
• Computer literate, Excel, Word. Microsoft Project
• Office Administration
• Willingness to develop in all areas.
• Self-motivated
• Well organised with good time management
• Must have a high degree of flexibility
• Ability to develop an understanding of the activities of the department and of the Company
