ITN Solicitors is a leading human rights law firm. We have acted in some of the most high profile cases of recent years. We are looking for a bright and enthusiastic individual to join our Admin Team as a receptionist to help manage our front desk and to perform a variety of administrative tasks.

Job brief

We are looking for a Receptionist to manage our front desk with our Lead Receptionist on a daily basis and to perform a variety of administrative tasks.

As a Receptionist, you will be the first point of contact for our company. Our Receptionist's duties include offering administrative support across the Practice. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as a Receptionist, you should have a pleasant personality, as you will be speaking with our clients on a day to day basis. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and being able to prioritise is essential for this position.

Ultimately, a Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Responsibilities

  • Opening Office (unlocking the doors, turning off overnight service on telephones, manning reception);
  • Greet and welcome guests as soon as they arrive at the office, making the staff member aware of their arrival and directing them to the relevant meeting room/seating area;
  • Answer, screen and forward incoming phone calls. Taking detailed messages when a member of staff is unavailable.
  • Opening and distributing post to the relevant person
  • Arranging couriers and parcel services
  • Ensure reception area and meeting rooms are tidy and presentable
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Archiving and arranging for files to be sent to remote archive storage facility;
  • Copy and audio typing
  • Preparing invoices and taking payments (training will be provided)
  • Billing Police Station files (training will be provided)
  • Opening files on case management system for new cases;
  • Arranging office appointments and booking meeting rooms for fee earners and updating diaries

Requirements

  • Proficiency in Microsoft Office
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • Typing speed of 60 wpm+
