Permanent position, Part-time/Full-Time (flexible)

Salary: 20-25k

Cordant People are currently a Senior Administrator/Receptionist/Office Manager

The position is an integral part of the team and plays an essential role in unifying the different business areas. He/she will be responsible for organising all of the administrative activities that facilitate the smooth running of the office. The position will also support the business development, finance and client engagement/communications teams. He/she will report to the Chief Operating Officer.

Specific responsibilities

Maintain office services

  • Support all administrative aspects of work and provide effective and timely administrative support to all staff/divisions.
    • Maintain staff database
    • Arrange all aspects of new starter inductions/leavers including all on boarding processes.
  • Answer the telephone and provide information and assistance in response to general enquiries, screen and redirect calls as necessary.
  • Ensure office is organised and in good order.
  • Undertake all aspects of incoming and outgoing mail and couriers including mail collection, records of post received distribution and mail-out.
  • Manage and supervise the company's service providers (IT, cleaning, travel agency, phones, mobile phones).
  • In coordination with COO, liaise with landlord and ensure building is in good running order and fit for purpose.
  • Oversee maintenance needs and be responsible for on site health and safety compliance.
  • Act as the first point of contact for all general IT problems
  • Any other ad-hoc duties in support of the smooth running of the office and performance of the Company

Maintain office efficiency

  • Ensure maintenance of companies calendar, manage scheduling of meetings, appointments, and travel dates for all staff.
  • Ensure that equipment and machinery used in the office, i.e. printers, phones, etc., are maintained, operational and in good working order. If the machinery malfunctions, it is the responsibility of the role to try to correct the problem or alert repair personnel.
  • Maintain stocks of stationery, office and kitchen supplies.
  • Manage all admin related purchases (kitchen and office supplies, IT, etc.) and make sure they stay within the yearly budget, in liaison with the finance team.

Ensure implementation of Company policies

  • Manage implementation of Health and Safety Policy for staff, and ensure compliance with all of the regulations.
  • Manage implementation of Travel and Duty of Care Policy for staff and subcontractors. This includes, amongst others, obtaining visas, booking flights and hotel rooms where required, organising security training, insurance and monitoring staff whilst travelling.
  • Support COO in implementing HR Policy including recording absences and leave, undertaking inductions of new staff.
  • Support the organisation of workshops, meetings and presentations for office staff.
  • Keep administrative, compliance and legal documents up-to-date.

Skills and experience

  • Experience in managing the operational aspects of an office.
  • Excellent competency in office software, including MS Outlook, Word and PowerPoint.
  • Experience working in multi-cultural and time-pressured contexts.
  • Outstanding English written and oral communication skills.
  • Proven ability to multitask.
  • Be a self-starter who strives for excellence, takes initiative, and naturally sees opportunities for change and improvement.
