Job Description:

My client, one of London's premier estate agents, are looking for a switched on and efficient Receptionist to join their boutique offices based in Marylebone.

They are looking for someone with previous reception/front of house experience as the ideal candidate will be the face of the company whilst also supporting an energetic team of individuals.

If you are a meticulous multi -tasker with an aptitude for administration, this could be the perfect role for you!

Front of House Responsibilities

  • All telephone enquiries are answered promptly, courteously and efficiently, and re-directing calls appropriately according to the company's processes.
  • Mail and parcels are collected, stamped and distributed on the same day after Director sign off
  • Post from each floor has been collected and franked with the correct stamps/cost and taken to the post box daily
  • Boardroom is set up and kept in a presentable condition throughout the day, ensuring refreshments are provided.
  • Reception area is kept tidy, organized and presentable with all necessary and updated marketing material (such as brochures, magazines etc)
  • All Visitors are promptly greeted, signed in and provided with a Visitor Pass then directed and announced to the relevant team member/s.
  • Front door security is maintained and reporting of any suspicious activity is actioned immediately
  • The key release and collections are recorded on daily list and ID checks are done for Tenants, Landlords, and Contractors before releasing the keys
  • Requests for courier services from team members has been arranged timely and the sender is updated

Office Administration responsibilities:

  • Assist with on-boarding process of new starters such as work station set up, business card orders, mandatory training set up, e-mails signatures, allocating phone extension line etc.
  • Assistance is provided with Health and Safety procedures; recycling and Information Security
  • Management of companywide document filing systems and retrieval using manual and electronic systems are established and maintained
  • Team member queries regarding office management issues for example, meeting rooms, hardware and IT are dealt with promptly and as per internal processes.
  • Engagement support: assisting with the coordination of team socials and company events
  • Reviewing and updating business processes and procedures manual as needed.
  • Canvassing and other bulk post by various departments are sent as per agreed deadlines.
  • Common areas and stationary room are kept tidy, organised and presentable at all times
  • General administrative support to Operational and Senior Management team

Desired Attributes:

  • Thorough experience of the office environment, procedures and best practice.
  • Proactive and pragmatic approach with strong team working skills.
  • Competent knowledge of variety of Microsoft software packages, such and Microsoft Outlook, Word, Excel and Power Point
  • Excellent written, communication and presentation skills
  • High standards of personal organisation and efficiency
  • Accuracy and attention to detail
  • Able to work independently with some direction
  • Problem-solving and analytical ability
