Receptionist

Salary - up to £26,000 (based on experience)

Type - Permanent

Location - City

Hours - 8.30-5.30

A forward- thinking IT Company based in the City looking for a professional and efficient Receptionist to join their team.

The ideal candidate will be proactive and organised with the ability to work within a fast paced environment.

Duties include

  • Maintain the upkeep and presentation of Front of House to the highest standards
  • Greet all visitors to the organisation, ensuring they are dealt with in a professional manner
  • Manage the guest spreadsheet for the main reception
  • Own the door security system
  • Management of the Health and Safety policy and procedure
  • Conduct briefings for all visitors
  • Deliver new employee induction and ensure all relevant documentation is signed/scanned/filled
  • Manage the up-keep of the main floor area (i.e. ensure it is cleared from spare equipment, cables, etc.)
  • Book training courses for First Aid and Fire Warden - ensure the spreadsheet is kept up to date
  • Keep first aid boxes up to date
  • Keep the accident log book up to date
  • Filter general information, requests and queries. Ensure the information is passed on to the right person in a timely manner
  • Manage reception manual and keep it up-to-date. Review on a regular basis and suggest improvements
  • Manage meeting room calendars. Prepare meeting rooms in a timely manner. Ensure refreshments are set up before meetings and tidied up afterwards
  • Manage the office stationery inventory (including printers and toners, their supply, replacement and recycling)
  • Arrange lunches for management, clients and in house training sessions as and when required
  • Assist in management of the notice boards around the office. Ensure that the displayed information is accurate and up-to-date
  • Scan invoices and perform credit control calls as and when required
  • Work with other colleague receptionist to ensure smooth handover between shifts

Office facilities

  • Keep the kitchen area tidy at all times
  • Arrange and maintain office maintenance queries as and when required

Other duties

  • Support HR with coordination of business and social events for staff and Directors
  • Support Recruitment with new employee onboarding process coordination (prepare New Starter packs and ensure the right information is always up-to-date)
  • Support Finance and other departments across the business with filing, scanning and binding of documents as and when required
  • Assist with diary management as and when required
