We have an excellent opportunity for a Receptionist/ Switchboard Operator to join our team in Preston for 12 months. We are looking for a confident and friendly person who will be able to adapt to the needs of our clients both over the phone and face to face; whilst upholding the professional image of the company.

About us

HCL Insurance BPO Services Limited provides business process outsourcing services. We offer life and pension administration services, including policy administration and claims handling on behalf of our clients

Key task and responsibilities

  • Operate a secure front desk meet and greet service ensuring strict adherence to company security procedures.
  • Operation and administration of agreed physical access requirements.

  • To provide travel booking service for International and Domestic travellers across all sites

  • To provide room booking service

  • Command and control access for all external and internal clients through agreed policies and procedures.

  • Effective management of HCLIBS staff Laptop ID passes/temp/visitor and Contractor passes.

  • Maintain all security registers in accordance with Information Security requirements to provide an audit trail.

  • Operate an efficient switchboard ensuring all calls routed correctly

  • Liaise with third party contractors - Cleaning/Maintenance/Vending.

  • To provide support to the Facilities Manager and other service roles as required to meet agreed service levels

  • Ensure service is fully compliant with all current regulatory developments communicated via Facilities.

  • Personally develop to ensure professional development

Hours of work

  • 22.2 hours per week working 08:25 to 13:00 - Monday to Friday
  • 22.2 hours per week working 13:00 to 17:25 - Monday to Friday

shift changes may be required to suit business needs

Person Specification

Experience

Essential

  • Basic Computer knowledge with applications such as MS Outlook and Excel
  • Previous experience of working switchboard

Desirable

  • Experience of working front desk
  • Experience of working in Financial Services
  • Knowledge of Alcatel switchboard

• Thorough and accurate with attention to detail
