Bookings Clerk / Receptionist

  • Hours: Monday to Friday9am - 5.30pm
  • Basis: Temporary, maternity cover 8 months
  • Salary: £8.00 per hour
  • Location: Chesterfield (S41)
  • Start date: Immediate

My client are a highly professional organisation. Due to recent maternity leave they are seeking a motivated and professional receptionist / PA to provide a comprehensive bookings and reception service, as well as administrative support service to staff and clients. This will be a varied and challenging role and will encompass being the face of the business to visitors and clients, organising travel and hotel bookings across Europe, in addition to general administrative support.

We are looking for someone with experience in a similar role and you will need to be capable of working on your own initiative with minimal supervision. High levels of attention to detail and organisation skills are required in order to successfully manage multiple travel arrangements and events.

Key responsibilities

  • Dealing with all administration and support relating to the bookings service
  • Assisting with arrangements for conferences, seminars, external visits, meetings and events
  • To provide a friendly and professional front-of-house reception service
  • Meeting and greeting clients, customers and staff on arrival
  • Ensuring the health & safety policy for all visitors is adhered to via the signing in and out process and issuing of security passes
  • Maintaining records and data
  • Running office errands
  • Handling incoming calls
  • Filing, photocopying, and retrieving information and documents
  • Keeping the office and meeting rooms tidy and fully presentable and prepared for visitors
  • Conducting weekly walk-rounds to identify facilities issues/repairs, and liaising with warehouse staff to ensure completion

Skills and experience

This position would be ideal for candidates with experience working as an executive assistant, PA, secretary, or receptionist where there have been travel and events bookings incorporated in the role.

Excellent communication skills, both verbal and written
Ability to work under pressure
Strong documentation skills and an eye for detail
Self-motivated, with strong ability to work both independently and with teams and managers as appropriate
Able to react swiftly to problems and facilitate positive resolutions
Able to present a professional and personable impression of the business to clients and internal senior management
