Job Role Overview

The role will consist of the day-to-day; seated/standing meeting and greeting, inputting visitor names into check-in software, creating tenant passes, guiding guests through the building if needed, administrative duties, monitoring reception for health & safety, etc.

Candidate Description

A solution-based, positive/proactive and forward thinking individual that comes with ideas on how to continually improve the service of a city-based cooperate environment. The ideal candidate will be working as part of team and will have the ability to understand and enact the subtlety required when shifting from one delicate tenant/customer type to another. They will have the ability at any point to rapidly shift between skill sets so to remain professionally dynamic and keep their energy up. Mature attitude with sustained energy in the candidate will be required in what can (on occasion) be long periods of down time, but equality, whom has the stamina to deal with long periods of high volume through what can be a very busy ground floor reception.

Working hours:

Monday to Friday 09:00am - 5:30pm 42.5 Hours, Salary £25,000 - £28,000 Dependent on experience

Location: London- Bank

The individual will be required to fulfil:

  • Ensure there is a welcoming atmosphere in the reception area.
  • Acting as Number-2 to the Site Manager
  • Liaising with the property management company as and when needed.
  • Working as part of team of three.
  • Able to make sure the reception standards and service are maintained during, and when, Site Manager is not present: Consistency is key here.
  • Signing in visitors into booking system.
  • Creating passes for tenants.
  • Dealing with contractors and deliveries on a daily basis.
  • Diary management.
  • Event coordination.
  • Ad hoc requests.
  • Thoroughly training temp-workers from a training metrics.
  • Handling incoming/outgoing telephone calls/emails quickly and efficiently.
  • Announcing ALL visitors to the building tenants and holding them in reception until instructions given.
  • Administrative Tasks: Updating Tenant Contact Information
  • Maintaining/Updating the Reception Manual
  • Maintaining, Ordering & Restocking Stationary.
  • Making sure the reception area is kept clean and tidy.
  • Deliver a 5 star customer service at all times.
  • Making sure all H&S procedures are followed.
  • Assisting in monitoring the security of the building.
  • Fire warden responsibilities.
  • Other duties as assigned.

Further Candidate Qualities:

  • Have excellent communication skills, both written and verbal.
  • Have extensive reception experience in a corporate environment.
  • Have a friendly and enthusiastic attitude.
  • Ensure high standards of personal presentation at all times.
  • Have good knowledge of Microsoft Office.

Successful applicants will:

  • Have at least 1 years' experience working as a corporate receptionist
  • Proven experience of managing a team
  • Demonstrate strong leadership skills
  • Have a friendly and enthusiastic attitude
  • Have exceptional organisational skills
  • Strong knowledge of Microsoft Office software, especially Excel
