Cocoon Networks is the first Chinese-funded cross-border platform specialised in Co-working Space Management, Financial Services Provision, and Entrepreneurial Community Building. We are now looking for a dedicated Receptionist to handle client-facing duties as well as general office management tasks. When our clients, tenants walk into our building, we want them to find a friendly, smiling face and a helping hand. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic.

Main Duties and responsibilities of the job

- Greet visitors as soon as they arrive and connect them with the appropriate party

- Direct visitors to the appropriate person and office

- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

- Answer, screen and forward incoming phone calls in a timely manner

- Create and manage both digital and hard copy filing systems for all tenants

- Provide basic and accurate information in-person and via phone/email

- Receive, sort and distribute daily mail/deliveries

- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

- Help the tenants to book the meeting room on the system;

- Collecting issues and complaints from tenants and report to the facilities manager

- Assist facilities management and documentation control in adhoc tasks;

- Purchase orders which meet events need or daily need of staff working;

- Manage the reception email, rely inquires;

- Using spreadsheets for data tracking;

- Maintains safe and clean reception area by complying with procedures, rules, and regulations.

- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

- Contributes to team effort by accomplishing related results as needed.

Skills, qualifications

- Excellent verbal communication skills and the ability to speak on the phone in a polite and professional tone;

- Excellent writing skills;

- Prefer Bachelor's Degree level education;

- Proficiency in Microsoft Office Suite;

- Hands-on experience with office equipment (e.g. fax machines and printers);

- Professional attitude and appearance;

- Ability to be resourceful and proactive when issues arise;

- Excellent organizational skills;

- Multitasking and time-management skills, with the ability to prioritize tasks;

- Customer service attitude;

- Team working skills, able to work in an international environment;

- The ability to pay close attention to detail;

The ability to work with all kinds of clients.
