NHS Professionals run the temporary work placements for the trust and we are looking for a receptionist to start ASAP in the below location.
Location: Southampton General Hospital SO16 6YD
Ward: Main reception
Band: 2 £8.23 p/h
Hours: Alternative shift pattern; 12.00pm-3.30pm Mon- Friday and 3.30pm-7.00pm Monday Friday , 36 hours split between 2 people or one suitable candidate
System knowledge: Ideally I would like the candidates to have knowledge of the following systems although training can be provided. CRIS, CAMIS, E-CAMIS, SYMPHONY, Porter ordering service, Word, PowerPoint and Excel basic knowledge
What will your duties and responsibilities be?
  • Provide wayfinding information for enquirers wishing to locate outpatient clinics, hospital and university departments, wards, and hospital facilities.
  • Telephone hospital departments to advise of visitors arrival.
  • Access Symphony, E-Camis, Camis, CRIS and Teletracking systems to determine appointment times, clinic and patient locations for enquirers. In accordance with data protection guidelines.
  • Telephone clinics and other hospitals to advise them when patients arrive at the wrong location to determine if the patient should still attend the appointment and/or assisting the patient in rearranging the appointment.
  • To print off and supply lost or mislaid patient appointment letters.
  • Provide enquirers with information verbally and in printed form, about the Trust, NHS, Southampton and local area (bus & train times-routes-fares, accommodation, leisure facilities) to direct enquires relating to social care services to the appropriate organisation or individual.
  • To assist with concerns or use the Trust's complaints procedure by either obtaining help and support from Patient support Advisors, Office Manager or relevant departmental managers, site coordinators and complaints managers. Issue copies of Complaints leaflets.
  • Be responsible for maintaining a clean, tidy reception area and action any cleaning or maintenance problems that are reported to them.
  • Remind visitors and staff of the Trust's non-smoking policy
  • Ensure company representatives register before entering the hospital buildings and ensure that they wear a Trust Visitor badge
  • Help patients and visitors with disabilities to arrange taxis, issuing taxi chits when authorised, find wheelchairs, access wards and departments by calling porters with wheelchairs and any other help or support they need with access.
  • Provide help and support to bereaved relatives entering the trust by directing them to the Bereavement Care Office or accompanying them to the chapel of rest for viewing appointments.
  • Issue car park tickets for cross-site permit holders. Ensure stocks of car park tickets are held.
  • Maintain the five trust notice boards, being responsible for maintaining tidy and current boards. Authorise posters/leaflets for display; take money and display on appropriate boards. Issue receipts for money taken.
  • Raise the alarm in the event of collapse, cardiac arrest, fire or security breach
  • Manage "daily" the provision of the Adult assisted change facility including keeping records of use , ensuring provisions of toiletries are maintained , area is cleaned in accordance with cleaning SLA's and entry code is communicated to all associated others.
  • To manage and book events via the main entrance bookings calendar , respond to requests in accordance with the Main Entrance booking Procedure and keep up to date records of events that have taken place.
