JOB TYPE: Receptionist & Contracts Administrator

COMPANY: Specialist recruitment consultancy

HOURS: 8.00am - 16.00pm, Monday - Friday

SALARY: £18,000 - £20,000 pa.

LOCATION: Walking distance from Chancery Lane Station

Our client requires a Receptionist to be based out of it's London office to organise and coordinate administration and office procedures for their UK offices.

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:

Receptionist

  • Greet and welcome guests as soon as they arrive at the office;
  • Direct visitors to the appropriate person and office;
  • Liaising with all members of staff in a professional manner;
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Ensuring office security;
  • Distributing/sorting all post and deliveries for the relevant departments;
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);
  • Order front office supplies and keep inventory of stock;
  • Data entry and calendar management;
  • Being responsible for the company credit card payments and petty cash;
  • Keeping records and receipts of company expenses;
  • Event organisation such as conferences and social events;
  • Assisting the Senior Recruitment Administrator with issuing contracts;
  • Being involved in our contractor care procedures by calling contractors to chase for any missing documents and ensuring contractors have a smooth on boarding process;
  • Chasing signed contracts from our clients and contractors;
  • Providing general administrative support to our employees;
  • Assisting with and arranging travel, meetings and appointments;
  • Adhoc duties

Contracts Administration

Assisting the Senior Recruitment Administrator with:

  • Calling contractors to confirm Limited/Umbrella status and new placement details;
  • Chasing contractors to provide correct documentation;
  • Raising and issuing contracts to both client's and contractors (New and Extension contracts)
  • Chasing client's and contractors for signed contracts;
  • Setting up follow up calls with contractors to ensure a smooth on-boarding process;
  • Updating spread sheets with new placements;

SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:

  • Proven work experience as a Receptionist, Front Office Representative in a Sales Recruitment company is an advantage or a similar busy role
  • Proficiency in Microsoft Office
  • Professional attitude and app Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organisational skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • Customer service attitude
