The Opportunity:

A fantastic opportunity has arisen for a customer service professional to join this busy, newly established team in North London. You will provide the highest level of client care and personal service to all visitors, clients and internal stakeholders, believing that it's the little things that make the big difference!!

Duties and Responsibilities:

  • Provide a natural, warm, courteous and prompt welcome on arrival for all visitors appropriate to a media environment.
  • Handle all incoming enquiries promptly on reception giving a warm, courteous welcome and an upbeat tone
  • Ensure that all meeting room bookings/queries/changes and requests are dealt with promptly and in a courteous manner.
  • Be reliable, flexible, honest and a strong advocate for the business
  • Work with your Team Leader /Manager to assist in the development of the services and embrace change across the business delivering services to the satisfaction of the client and in line with KPI/contractual agreement
  • Actively and positively engage with colleagues, clients and other stakeholders to ensure a seamless service experience
  • Anticipate client needs and follow up with clients to ensure that client expectations are met and where possible exceeded
  • Trouble-shoot client and visitor problems using research and problem solving skills
  • Take ownership and responsibility ensuring you are working effectively and developing close relationships with your colleagues
  • Support your colleagues and assist coaching new starters through their probation period
  • Ensure that visitor and client arrivals are communicated to the relevant people promptly
  • Ensure that waiting visitors are kept informed of any delays and progress and to ensure client comfort
  • Liaise with meeting hosts, fellow team members and other service providers to ensure that all room set up requirements are met, including the moving of furniture in certain rooms
  • Replenish meeting rooms with branded stationery as required and ensure that relevant refreshments are supplied and replenished by the Hospitality Team
  • Liaise with Audio Visual Team to ensure all equipment is working and the relevant clients' requirements have been accommodated
  • Assist with collating any monthly and ad-hoc reports on service usage, reception and switchboard statistics to be passed on to Management for reporting to the client
  • Ensure to report any technical faults for meeting room booking systems, PCs etc to the Tech Bar
  • To participate in project work as agreed with line management
  • Provide operational support to team to ensure service levels are maintained during peak periods
  • Ensure that a daily handover email is sent to team and management at the end of scheduled shift.
  • Attend 2 team meetings per year out of working hours and attend weekly team briefings to ensure you are engaged and understand the overall vision for the contract
  • Be aware of relevant legislation to include health & safety and be security conscious at all times.



What you'll need:

  • A minimum of 6 months previous experience working in a strong customer service environment
  • Previous experience working in a media environment desirable
  • Immaculate personal presentation with a genuine smile
  • Be able to engage in conversation and develops rapport with others and at all levels
  • Drive for and ability to comply with high standards
  • Strong attention to detail
  • Intuitive & interested in other people
  • Flexible and adaptable to respond to differing client needs
  • Confident, enthusiastic and motivated to deliver great service
  • Organised and able to prioritise work activity

Knowledge

  • Working knowledge of Health & Safety processes and own responsibilities
  • Literacy with Outlook email, Word / Excel to intermediate level essential
  • Able to work with computerised Front of House systems such as Condeco, Fidelio, Datacraft, CABS
  • Fluent in English both verbal and written (email particularly)
