Job Description:

As Senior Receptionist you will professionally handle incoming calls to the switchboard and provide administrative support to Director and staff, where required. You will welcome visitors to their office in a friendly and professional manner, dealing efficiently with their requirements. You will oversee and manage the meeting facilities and client experience and provide additional support to the admin team and PAs, as required.

Action: what will I be doing?

Responsible for the smooth running of the reception area including:

  • Receive and handle calls using the switchboard
  • Meet, greet and deal professionally with all visitors
  • Ensure meeting rooms are prepared and cleared away as well as drinks made, and client experience is outstanding
  • Be responsible for client meeting areas and staff recreation room
  • Maintain meeting room electronic booking system and order lunches as required
  • Ensure cover for holiday periods
  • Maintain fire roll for all personnel and visitors entering and leaving the building

Operate and maintain the security function of the reception area including:

  • Maintaining visitor log
  • Unlock premises ready for office opening
  • Retrieve daily holiday diary for fire regulations
  • Maintain basic first aider qualification
  • Maintain fire alarm and fire safety checks

General administrative duties including:

  • Accurately process incoming and outgoing mail, deliveries, couriers and international mail
  • Notification of faxes as received and forward external emails to relevant persons
  • Respond efficiently to administration requests from all areas of the business, as and when required
  • Provide assistance with typing, when required
  • Support all personnel where required in completion of administration
  • Assist with periodic mail campaigns by filling envelopes
  • Bind documents such as statutory accounts when necessary
  • Maintain a log of car registrations for new starters and changes to existing staff
  • Organise car park for seminars /meetings

General basic facilities duties to assist the admin team including:

  • Assist admin team with office maintenance including co-ordination of work for lift maintenance, odd job tasks and garden areas
  • Maintain and update offsite storage spreadsheets. Arranging collection and delivery of boxes as and when required
  • Maintain kitchen and toilet facilities - coffee, tea, milk, soaps, toilet rolls, hand towels
  • Order office consumables e.g. batteries and bulbs
  • Oversee recycling and co-ordinate destruction of contents of blue bins

Measure: the skills I need…

  • Fully computer literate, including excellent Microsoft Office skills (Outlook, Word, Excel and PowerPoint)
  • Ability to learn in house systems
  • Excellent telephone manner with good interpersonal and communication skills
  • Ability to work alone or in a team
  • Ability to work under pressure and prioritise work effectively and efficiently
  • Flexible attitude to work patterns
  • Excellent organisation and administrative skills
  • Accurate data inputting skills and eye for detail
