Job Description
Receptionist and Office Administrator: An experienced, well-organised and personable Receptionist and Office Administrator is required to ensure the effective and efficient running of the office on a daily basis for a leading membership association. The Receptionist and Office Administrator will join the industry body and public policy advocate for the UK private equity and venture capital industry with a membership of over 700 firms.

Reporting to the Office Manager, the Receptionist and Office Administrator will be the first point of contact, and will need to maintain a professional outward appearance, have a friendly and helpful manner, and be conversant with staff, members and third parties in addressing their needs. This is an exciting and challenging role with a variety of tasks as necessitated by a small business. The successful candidate must be resourceful, proactive and keen for the business to succeed.

Responsibilities:
- Greet staff, third parties, members and external guests as the BVCA's first point of contact
- Answer phones, transfer calls, and take messages
- Manage and prepare meeting rooms, provide refreshments as needed
- Respond to general company enquiries by phone and email, including in regard to the website, products, and services
- Maintain central diaries for the organisation
- Provide general administrative duties, assistance and support to various teams
- Produce correspondence in standard company format (letters, emails, reports, presentations)
- Compile and edit a daily Members newsletter for the Association
- Maintain filing systems
- Ensure the kitchen and office areas are kept tidy and organised
- Maintain office equipment (including coffee machine, printers, arrange maintenance for appliances, stationery supplies)
- Manage a secure access control system (including communicating with building security personnel, manage visitor passes, provide secure access to authorised individuals, control security fobs)
- Assist with IT equipment and its management, including AV equipment for conferences and meetings
- Manage purchase orders for the office such as food, drinks, computer consumables
- Appropriately handle confidential information, including documents, meetings, and other sensitive information
- Act as First Aider and Fire Warden

Skills & Experience:
- Previous experience in a busy office environment
- Excellent communication skills and good telephone manner
- Ability to manage multiple tasks and work well under pressure
- Must be computer literate, MS Office; particularly Word, PowerPoint and Outlook
- Excellent organisational skills and able to work to deadlines
- Outgoing character and desire to succeed
