Part Time Receptionist - Afternoon Shift 12pm - 5pm

Responsibilities:

  • Answer telephone, screen and direct calls, ensure all calls are answered promptly, minimising the wait of any caller.
  • Competent use of tannoy system (being confident and articulate when using the tannoy system)
  • Take and relay messages - take messages when necessary and ensure timely communication to the intended recipient.
  • Greeting visitors - greet visitors in a polite and professional manner, advising the member of staff of their arrival.
  • Booking visitors in/out on PC - ensure all visitors are booked in and out of the building, providing a security pass for all visitors.
  • Add visitors to welcome screen when requested.
  • Run reports on Microtrak.
  • Setting up wireless connection for visitors, - facilitate the visitors ability to use the wireless network if required.
  • Organise tea & coffee for Board meetings, should it be necessary, provide refreshments for visitors waiting in the reception area.
  • Receive, sort, distribute and frank mail, including the distribution of pay slips
  • Keeping the reception area tidy
  • Update the switchboard directory & reception work instructions.
  • Ordering consumables for the franking machine, coffee machines, biscuits for visitors, badge system & stationary, soap & hand cream. Ensure milk is reduced/increased when necessary.
  • Ongoing training of staff to cover reception during holiday/sickness.
  • Maintain and coordinate the booking of meeting rooms.
  • Organise lunches when requested.
  • Booking out pool cars adding to spreadsheet + organise for MOT/service of these cars.
  • Ensure knowledge of staff movements in and out of organisation - monitor staff movement charts to ensure knowledge of staff whereabouts.
  • Issue and update car permits.
  • Send out invoices received from the Sales office/Mailshots.
  • Create and update photo ID security passes.
  • Provide handovers to Security on subjects such as early morning visitors, pool car collection and drop-offs.
  • Cleaning of coffee machines in reception and boardroom. Making sure that all items of crockery are returned to their correct place i.e. boardroom and visitor cupboards in the serveries and that the coffee & tea containers are replenished in the boardroom.
  • Make travel hotel and taxi arrangements during holiday periods. Quartley review meetings with hotel/taxi/stationary companies
