Receptionist
Reporting to:Facilities Manager

Main Purpose of the role:

To provide a warm and welcoming reception atmosphere to all employee's and visitors.

Principal Accountabilities:

Reception duties -

- To receive all incoming telephone calls and re-direct to appropriate business units or pass on messages where appropriate.
- To distribute incoming mail to the relevant business units and to collect, collate and frank all outgoing mail.
- To ensure that the reception area is kept tidy at all times.
- Incoming and organising outgoing deliveries and cabs.
- To ensure that, there is sufficient stock levels of paper, stationary items and toner cartridges.
- To ensure that office supplies such as Tea, Coffee, Sugar and Crockery are checked on a weekly basis and replenished/replaced as necessary.
- Booking of meeting rooms for internal and external clients. Setting up meeting rooms in accordance with the requirements requested and cleared away afterwards.
- To undertake a security check of all windows, skylights, doors, and security grilles at the end of each day and ensure that anyone deputising has clear written instructions.
- To undertake photocopying, mailings, web site updates and other administrative duties as directed by the ICT and FM manager.
- To log all incoming cheques in accordance with the procedures laid down by the Finance Manager.
- Liaising with cleaners, organising repairs.
- Liaising with the other office managers for board room bookings.
- Organising deliveries and collections to other offices.

Environment and Challenges of the role:

Very dynamic and busy environment - incoming/outgoing post, deliveries, bulk mailings etc. Job holder therefore needs to be adaptable and flexible and to cope with frequent interruptions.

Experience and Skills:

- Minimum 1 year's Reception eperience
- General administration experience
- Excellent communication skills (both written and verbal)
- Courteous manner
- Good IT skills
- Switchboard experience.
