The Role

  • Welcoming all Neptune visitors in a warm, professional manner
  • Organising refreshments for meetings
  • Responsibility for the AV set up for meetings requiring audio/visual, liaising with IT service providers as necessary
  • Ensuring all meetings rooms are presentable at all times
  • Booking all meeting room requests by staff
  • Answering switchboard phones and redirecting to relevant person or voicemail
  • Daily liaison with the building reception, security and cleaners
  • Collection & distribution of newspapers and post
  • Taking delivery of general office deliveries
  • Booking and receiving couriers / deliveries
  • Organisation of massage rotas for massage therapists
  • Informing Office Manager of any stationery/kitchen supplies and ensuring they are maintained in an orderly fashion including keeping the production room tidy
  • Overseeing the functionality of all printers & photocopiers in the office
  • Organising daily distribution of fruit to all staff
  • Ensuring shower room and massage towels are emptied daily and unpacked ready for laundry run.
  • Archiving and handling confidential information
  • Responsibility for ensuring confidential material is disposed of in a secure manner
  • Responding to ad hoc administration requests

The reception hours will be Monday to Friday 10am-6pm (37.5 hours per week)

Requirements & Experience:

Technical:

  • Experience as a receptionist
  • Experience in Microsoft Office
  • Excellent English communication skills including written and spoken
