Job Description:

Working for a well established IT consultancy in London (City), my client is looking for a Receptionist to join their dynamic and growing company on a temporary to permanent basis. You must be available immediately to start.

As a receptionist you are the first point of contact for all telephone queries and face to face meetings with clients.

Duties include:
• Office Set up/ Shut down- Preparing the office for the day.
• Managing Client Suite- Greeting clients/ set up for large meetings/ keeping rooms tidy/ maintaining the meeting room calendar. Providing lunch for larger meetings/ booking deliveries via their catering companies/ purchasing extra items as and when required.
• Answering phones- Transferring calls/ dealing with enquiries/ passing on messages
• Post- Distributing post/ opening and distributing non addressed post/ signing for deliveries/ posting the outgoing mail/ taking mail that requires special delivery methods to the post office
• Recycling- Gathering the paper recycling in sealed security bags/ arranging collections
• Conference Calls- Assisting employees with booking conference calls and providing details when needed.
• Banking- Taking cheques to the bank/ filling in the credit book
• Taxis- Booking taxis/ recording the information in the log book & checking the invoice monthly
• Couriers- ordering couriers/gathering documentation to pass on to accounts
• Office checks - Monitoring office for maintenance issues

In time other duties to assist with:
• Monitoring and ordering supplies- monitoring the stock of stationary, kitchen supplies, toner, water, coffee, milk etc./ liaising with suppliers/ purchasing supplies with petty cash/ ensuring correct authorisation and documentation
• Print Orders- Ordering new business cards, envelopes & marketing materials from their print company/ obtaining quotes and proofs/ following correct procedures and gaining consent and approval from appropriate members of staff/ passing information onto accounts
• Office Maintenance- Acting on issues from staff members regarding equipment that is not working correctly
• Filing- Ensuring all log books and electronic documents are maintained/ assisting the accounts department with their filing requirements/
• Office Mobiles- Maintaining the mobile spreadsheet & ensuring all information is up to date and historic information is kept for reference
• Events - Assisting with internal and external events, staff drinks evenings etc.
• Travel planning- Handling requests for train/flight hotel bookings/ researching options and obtaining quotes/ booking using company cards/ organising credit authorisation forms/ passing on documentation to accounts
• Petty cash - Maintaining the petty cash log/filing system

Ideal Candidate

  • Familiar with Microsoft Office and Outlook
  • Good academic results at GCSE/A-Levels (English and Maths GCSE essential)
  • Good professional telephone manner and willingness to learn.
  • Well organised and good attention to detail
