Job Description:

To provide exceptional Customer Service to customers, clients and visitors to a busy, high profile and professional organisation.

This role would suit someone looking for a prestigious opportunity where they can use their 1st class interaction and administrative skills.

The role is across 7 days per week on a rota basis and is full time. The successful candidate will have a full UK driving licence.

This role would be a wonderful chance to have an exciting, fast-paced and incredibly varied position within a superb company.

Main responsibilities of the job:

  • Receive and greet all visitors, customers and suppliers at front desk.
  • Receive and respond to emails using Outlook in a timely manner.
  • Identify user and customer needs, making customer satisfaction a high priority.
  • Answer the telephone switchboard within 3 rings.
  • Escort passengers and their cars plus other vehicles such as vans, ambulances etc airside following Airport safety guidelines
  • Attend to passengers and crew in the arrival and departure lounges, ensuring suitable refreshments are provided
  • Prepare customer packs (coffee/hot water/ice/newspapers etc).
  • Ensure the facilities are clean & tidy at all times, coffee machines are functioning and supplies of cups, sugar etc are available
  • Book meeting rooms and arrange functions
  • Ensure security are given advance notification of all visitors expected at the terminal.
  • Ensure vehicle permits are provided and entries are made into the ANPR where necessary.
  • Liaise with other departments: ATC, Security, Ground Services/Aircraft Handling, Fuel, Ops Controllers within organisation and the Fire Service to ensure on time departures are achieved. Perform Check-In duties for scheduled airline flights.
  • Work closely with the Operations Controllers & Passenger Handling Agents.
  • Respond to general enquiries in a timely and accurate manner.
  • Maintain knowledge of all relevant legislation and regulations as directed by DfT, CAA, UKBA.
  • Assist with Airport/Airline emergency procedures as published in the relevant manuals.
  • Set up or respond to SRC in case of emergency (Survivor Reception Centre).
  • Open & close the terminal (and all relevant associated duties) when required.
  • Adhere to company Code of Conduct & Dress Code at all times.

Process and file flight paperwork.

  • Arrange ancillary services including: hotels, taxis, chauffeur cars, catering, laundry, hire cars, aircraft cleaning, waste disposal etc.
  • Record ancillary services in Excel and ensure charges are applied.
  • Use computerised information systems.
  • Use Pegasus to generate invoices or purchase orders.
  • Check and approve supplier invoices, chase customer payments where required.
  • Prepare all documentation in compliance with regulatory bodies
  • Assist UKBA where required.
  • PET immigration handling/paperwork.
  • Provide charter quotations.
  • Assist Operations Controller where needed.
  • Ensure that the Front Desk as an operation is always presented well to customers and that customer needs are dealt with swiftly and politely.

Comply and co-operate with Company Health, Safety and Welfare requirements. Ensure personal safety and that of others at all times. Report any hazards, unusual occurrences or unsafe practices immediately. Carry out emergency procedures when required. Participate in safety briefings and meeting as required. Report all accidents or near misses via the appropriate mechanism.
