Our client is a trading, advisory and supply chain management firm offering a fantastic opportunity to become a key part of an energetic team and one of the faces of a dynamic organisation based in the City of London.

Ideally this role would be suited to someone with another career on the side (i.e. actor/writer/freelancer), looking to subsidise their current pay packet. There will be other aspects to the role to grow into so previous administrative experience beyond reception work would be preferred.

Purpose of Position:

To be responsible for general office administration and coordination of tasks at Reception. Greeting and directing guests and clients and answering phones. The receptionist's role is to establish and maintain rapport with all points of contact.

Tasks and Responsibilities:

  • Answering, screening and forwarding switchboard line.
  • Meeting & Greeting and looking after Guests/Clients.
  • Booking meeting rooms.
  • Arranging in-house lunches/booking restaurants.
  • Ordering kitchen and office supplies and arranging for the replenishment of stocks as necessary. Keeping a cost track of orders for both.
  • To maintain a tidy Reception kitchen/Stationery office and Reception area.
  • Fire officer.
  • Distribution of security passes for building and maintaining office security for reception.
  • General Administration & Secretarial support. Including business cards, medical bookings and any necessary binding of documents. Franking/sending outgoing post. Shredding documents on a daily basis. Distributing incoming post around the office.
  • Maintaining the 'Courier Book'. Receiving and sending Couriers in the UK and overseas.
  • Manage courier systems (FedEx and DHL).
  • To be responsible for the download of monthly credit card statements. To check through statements for abnormalities and report anything out of the ordinary to the Office Manager. Liaise with the accounts team to arrange for payments to be made. Keeping a record of company credit cards distributed throughout office.
  • Maintaining and providing assistance with internal expenses system.
  • Contracts/Addendums. Check through final details (i.e. dates, reference numbers) of contracts and addendums sent to you from overseas offices for Directors to sign. Send signed documents back to relevant parties.
  • Being a point of call for employee queries on the intranet system.
  • Printing and maintenance of printers. Replenishment of paper, toners etc.
  • To organise and manage employee Gym membership facilities.
  • Refinery updates for personnel and new starters. Maintenance of job titles.
  • To support the Business Development team with content writing and the production of training materials for the Refinery and other Social media sources including You Tube, Linked in and Glass Door.
  • To record full details of company mobile phones which have been distributed to employees ensuring this is kept in line with the starter and leaver process and logging necessary related changes on our records.
  • Travel. Booking and coordinating business trips for staff members together with any visa requirements. Support with record keeping of trips for the entire Group, ensuring compliance with company travel policy.
  • To organise internal and external hospitality/team building events i.e. Summer/Xmas parties, Summer Walks. Kids Xmas party, Annual Cocktail party, ISO week events and Retirement lunches.
  • To support the on-going charity fundraising events including the annual City Giving Day project, Charity drinks trolley and other employee Wellbeing/Engagement Days.
  • Ad hoc assistance with projects as and when required.
  • Covering the responsibilities of other receptionists in their absence.

Hours: 9:30 - 17:30 (Tues,Wed,One other day)
