Job Description:

Magpie Recruitment are currently seeking a Reception/Administrator for a security company based in Hounslow.

The successful candidate will be working in a small, close-knit team and will have the opportunity to progress to more senior roles.

Job Purpose: As Receptionist and Administrative Assistant, you will be the "face/voice of the Company", the initial impression of the Company rests with you. You will report to the Office Manager and be involved in a variety of office functions. On a day to day basis you will be expected to handle a multitude of duties from answering and directing incoming calls, to managing the stationery store and maintaining archiving systems.

Responsibilities:

  • Manage Incoming Calls
  • Screen and quickly direct incoming calls to the appropriate department or member of staff
  • Take effective and accurate messages, passing them on to the correct member of staff in a timely manner
  • Assisting and dealing with queries from members of staff relating to general office functions
  • Administration for the sales team
  • Dealing with incoming and outgoing post
  • Make Tea & Coffee for all Guests
  • Maintain archive system
  • Database management
  • Admin work for banks under manager's supervision
  • Cover certain aspects of accounts payable as and when needed (Invoices) and cover admin staff whilst on Maternity leave.

Office Management/HR Duties:

  • Working closely with departments, assisting line managers to understand and implement policies and procedures
  • recruiting staff - this includes developing job descriptions, preparing job adverts, checking application forms, short listing, interviewing and selecting candidates
  • Developing and implementing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures and absence management
  • Carrying out staff appraisals, managing performance and disciplining staff
  • Keeping personnel records
  • Arranging regular testing for electrical equipment and safety devices
