We are looking for our Repairs Service Administrator to have:

Qualifications- Educated to a minimum of 5 GCSE's or equivalent, which must include English & Mathematics or equivalent relevant and demonstrable work experience.

Essential Skill Set:

  • Excellent communication, organisation and time management skills
  • Ability to handle confidential, sensitive information appropriately
  • Experience of working with external organisations to deliver defined objectives
  • Ability to produce clear and concise reports
  • Demonstrable, excellent IT skills, particularly Word, Excel and Outlook and MS Teams
  • Flexible and adaptable
  • Outcome focussed and ability to work to deadlines
  • Able to multi-task and work on several projects simultaneously
  • A self-starter that can work with minimum supervision and able to use your own initiative within set guidelines and delegated level of authority.
  • Self-supporting and able to work on own initiative with minimum support

Desirable Skill Set:

  • Supported housing or care & support sector experience
  • Experience in the production of PowerPoint presentations
  • Experience in the use of data management systems

Essential Work Experience:

  • Experience in a maintenance, role
  • An understanding of building and equipment health & safety statutory testing and certification requirements
  • Preparation of performance reports and statistics

Desirable Work Experience:

  • Management of external contractors and contracts
  • Works/Purchase order systems, scheduling and programme planning

Our Repairs Service Administrator will carry out the following duties:

  • Electronic file management including data entry and production of performance reports
  • Processing invoices, matching work orders and agreed rates to invoices, coding and authorising payment to the Finance Team. This process will include raising queries against invoices and concluding any issues arising.
  • Updating and maintaining the purchase order system including the interrogation of open jobs to obtain definitive information from contractors as to completion of the works ordered required for KPI reporting.
  • Obtaining job completion statements and invoices covering all the job orders raised that are complete. This involves direct contact with contractors and service sites to obtain confirmation and documents needed on works completion.
  • Raising job orders with the call centre, raising manual purchase orders under the instruction of the Repairs & Business Services Co-ordinator, monitoring and reallocation of jobs to the correct contractor as instructed and where necessary
  • Under the instruction of Facilities & Assets Manager and Repairs & Business Services Co-ordinator, obtaining quotations from contractors and the chasing of quotations requested from contractors where Amber Housing hold a responsibility.
  • Repairs management of housing management partner/other landlord repairs under the instruction and guidance of the Repairs & Business Services Co-ordinator and or Facilities & Assets Manager.
  • Reviewing and storing compliance documents, completion and commissioning works sheets, updating servicing property files, spreadsheets and asset registers. Where remedial action is stated on documentation, reporting such actions required to Repairs & Business Services Co-ordinator for further instructions
  • Responding to requests from operational service sites for compliance certificates that have been produced but mislaid by service locations and circulation of the compliance documents to service personnel as required
  • Under the instruction of Facilities & Assets Manager and/or the Repairs & Business Services Co-ordinator data cleansing on assets that are being managed and updating registers noting all key and correct information
  • Assisting to maintain contractor compliance/standards credentials including account details, liability insurance, work/service rates of pay and payment terms etc under instructions from the Repairs & Business Services Co-ordinator
  • The role may also entail delivering other specific areas of Amber Housing's business to release other team member resources required to deliver adhoc projects such as but limited to the new Property Management System.
  • Assisting in the maintenance of organisational policies, procedures and other records including minutes of meetings.
  • The role will necessitate assisting the Chief Operating Officer from time to time with administration relating to organisational governance and reporting to the Amber Housing Board and associated committees.
