MKC are looking for a skilled Business Support Assistant with receptionist skills at the Milton Keynes Professional Development Centre - Immediate Start

Purpose of job

To provide administrative support and reception duties and to the events programme at MKPDC

To ensure the appropriate facilities for training rooms and communal areas are in place

To provide efficient and accurate input of data on the Council's database system for the Centre

To provide a reception service to meet and greet delegates and staff accessing the Centre.

To have a proactive approach to supporting MKPDC users through advice, guidance and assistance and signpost where necessary. Act as first point of contact for the site , provide assistance for internal staff and deal with any enquiries accordingly. To have a clear understanding and ability to work to policies and procedures and to act appropriately should areas of concern arise. To have an understanding of the health and safety requirements for the premises and in line with Milton Keynes Council policies and procedures.

Role and Responsibilities

  • The main focus is to co-ordinate schedules and facilities for delegates using current systems within specified time limits using agreed processes and filing systems.
  • To provide general administrative support to MKPDC, this will include but is not limited to training requirementssetting up and maintaining filing structures both electronic and manual, running reports from the database, taking messages, maintaining diaries, maintenance of records.
  • To be responsible for accurate data input for registrations and activities and to meet a set deadline.
  • To be responsible for answering the telephone, taking messages and directing the caller to the appropriate member of staff.
  • To undertake reception duties for visitors to the Centre in line with Council policies in an efficient, professional and courteous manner at all times.
  • To ensure that Council's Equal Opportunities policies are proactively implemented so as to promote inclusion, equality and valuing diversity throughout all aspects of the Centre.
  • To have a clear understanding and ability to work to policies and procedures, to act appropriately should areas of concern arise, in line with these policies and procedures.
  • Assist in the organisation of meetings and events including booking venues, liaising with catering, and co-ordinating site requirements.
