Role

The Receptionist will be responsible for ensuring the smooth day-to-day running of front of house. They will manage our external interview days effectively, providing our clients, candidates and suppliers with exceptional service.

This position manages meeting room bookings for the company, liaising with stakeholders across the business to meet external and internal requirements. They will effectively manage the reception desk liaising with colleagues to ensure messages and post are delivered/mailed appropriately. They will support the Office & Facilities Manager working under their guidance to ensure a comfortable and efficient working environment.

The post holder will provide a fantastic first impression, live company values and effectively communicate with stakeholders over the telephone, email and face to face.

Accountable For

The Receptionist is accountable for:

• Creating a fantastic first Impression

• Maintaining excellent customer satisfaction levels

• Effective management of meeting rooms

• Cover for Office & Faculties Manager when absent

Areas of Responsibility

• Ensure Front-of-House provides a professional and friendly first impression via email, telephone and face-to-face

• Regularly check the condition of the office facilities to ensure staff and guests are met with a clean, safe and tidy environment

• Effectively manage the booking and presentation of 6 meeting rooms (and break-out areas), ensuring they are appropriately prepared for guests

• Manage post and couriers to meet our delivery deadlines

• Organise and maintain recycling, refuse and shredding

• Manage stationery, ensuring stocks are well maintained and distributed appropriately

• Manage staff ID cards to our on-boarding, off-boarding and monitoring procedures

Person Specification

Must Have

  • Previous experience working in an SME organisation
  • Previous experience working as a Receptionist including Meet & Greet
  • Knowledge of Outlook including Calendars
  • Excellent verbal and face to face communicator
  • Experience working with general office IT systems (franking machine, ID cards, travel booking systems).

Desirable

  • Previous experience working within a sales or recruitment environment
  • Previous experience working in office / facilities management
