Job Description:

This progressive and forward-thinking law firm is seeking an experienced Receptionist for their modern offices based in Central London.

The successful candidate will have an excellent telephone manner and good communication skills as they will be the first point of contact for the public.

Main duties

* Setting up the office in the morning
* Maintaining office security by following safety procedures and controlling access via the reception area (including monitoring access key logbook)
* Collecting, sorting and distributing incoming mail/ deliveries; preparation and sending of outgoing mail
* Scanning in case-related correspondence to administrator
* Monitoring the mainline telephone and all staff telephones; taking telephone messages, distributing to staff
* Monitoring the info email account, distributing to staff as appropriate
* Relaying to staff announcements by the landlord
* Organising/ monitoring the office diary, ensuring the smooth running of all appointments in the office on a day-to-day basis
* Arranging internal and external meeting facilities and conference calls for staff
* Greeting clients and visitors with a positive, helpful attitude; providing refreshments/ catering for meetings
* Keeping meeting rooms tidy in between meetings, washing up
* Booking, planning and preparation of meetings, conferences and conference telephone calls.
* Organising couriers and outsourced printing/ scanning
* Maintaining an adequate amount of office supplies at all times (stationery, kitchen and cleaning supplies), keeping all storage areas tidy and well-organised
* Making sure communal areas of the office are clean and tidy throughout the day, including reception, cafe, WC and kitchen areas
* Managing cleaners
* Procurement of ad hoc goods for the office; keeping purchase records.
* Maintenance of office contacts system (shared by senior administrator).
* Closing up office in the evening
* Ad hoc duties
