JOB DESCRIPTION

RECEPTIONIST

Location: London

Position Reports to: Executive Assistant

Purpose of Position:

To undertake reception and general administrative duties to ensure the smooth running of the office.

Key Responsibilities

  • To ensure the Head Office Telephone Switchboard is manned and operated
  • To professionally receive guests and visitors, offering refreshments when appropriate
  • To ensure the Boardroom is managed effectively and meeting requests are promptly booked
  • Ensure all meeting rooms are kept clear and tidy
  • Ensure appropriate communication is sent to the office staff to inform employees that the fire alarms are being tested according to the Health & Safety requirements
  • To ensure the reception area is tidy, clean and presentable
  • To organise flower arrangements for front of house when required
  • To arrange lunches and refreshments for Head Office meetings and training sessions
  • To book all UK & Ireland travel requirements for Head Office
  • To manage, distribute and control all Access security cards and ensure an accurate record is kept at all times
  • To update and distribute the company contact list as required
  • To manage emails on a daily basis
  • Distribute all out-going mail in an appropriate and cost effective manner
  • To organize couriers/UPS etc and keep accurate records to enable the business to track documents and parcels
  • To ensure the sign-in procedure is adhered to according to company requirements
  • Ensure staff notice boards are kept tidy and updated on a regular basis
  • To ensure all office/stationery supplies are ordered and managed in line with budgetary requirements
  • Provide administrative support to the business as required
  • Provide support in co-coordinating company update meetings
  • Assisting in delivering internal staff events
  • Book taxi's when required
  • Assist the executive assistant when required
