Location: Cambridge, Cambridgeshire, United Kingdom

Contract: (Part-Time, 22.5 to 30 hours per week)

About the role:

Abcam are looking for two part time receptionists to work either 8am to 2pm Monday to Friday or 12pm to 5pm Monday to Friday. This role may require working in a flexible manner.

As a Receptionist, you will be the first point of contact for Abcam. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Our Receptionist's duties also include offering administrative support across the Facilities and EHS organization.

To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with difficult situations using your initiative in a timely and effective manner, while streamlining office operations. Multitasking and stress management are essential for this position.

Receptionist's duties and responsibilities:

  • Ensure the front desk welcomes guests positively
  • Executes all administrative tasks to the highest quality standards
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries, ensuring that important/confidential documents are fast tracked and managed in a professional way
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock
  • Assign and monitor work tickets
  • Update calendars and schedule meetings
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Managing reception cover so that the reception is manned at all times
  • Raising, following up and facilitating purchase orders along with the weekly catering order
  • Supporting the facilities and EHS team in taking on some day to day administrative tasks
  • Coordinating specific team activities for example organising health surveillance clinics

About you:

  • You will have proven work experience as a Receptionist, Front Office Representative or similar role.
  • You will have knowledge of web-based intranet systems and how to update them with content and have Hands-on experience with office equipment (e.g. printers, scanners, fax machines)
  • Proficiency in Microsoft Office Suite.
  • You will have excellent written and verbal communication skills with a professional attitude and customer service focus.
  • You will have excellent organizational skills Multitasking and time-management skills, with the ability to prioritize tasks.
  • You will have the ability to be resourceful and proactive when issues arise.
