Job Description:

Job Purpose:
Flexible and multi skilled FM support to the Redhill office with a strong emphasis supporting the agile working environment.
Key Tasks
* Daily running of Reception
* Switchboard: All calls answered effectively and in a timely manner
* Administrative Support within own competence to include:
* Taxi & Courier bookings
* Supervising Reception, Switchboard, Postroom and Helpdesk
* Supervising Helpdesk ensuring the Priority jobs are signed of daily
* Day to Day upkeep of Meeting Rooms, Resource areas & Quiet Rooms
* Day to Day Supervision of Receptionists & Facilities Assistant
* Assist and support the Account CBRE Lead and Client
* Day & Day administration
* Issuing of Security Loaner passes
* Supervising & Booking Temporary staff as required for cover
* Supervising business cards ensuring correct information is sent to printers
* Supervise & support the hospitality role as required

- Split shift working - currently 08:00 - 16:00 & 10:00 -18:00 - Monday to Friday
- Uniform to be worn as part of role
- Able to work as an individual or as part of a team. Self-motivated, flexible, reliable and able to use own initiative whilst managing a diverse work load.
Duties within Role
RECEPTION
- Day to Day Supervision of Receptionist, Facilities Assistant & Day Cleaner
- Monitoring the volume of incoming work, assigning staff flexibly to areas of need and keeping Account Lead Manager advised of any concerns
- Monitoring and evaluating the quality of work produced by the team on an ongoing basis, taking appropriate action as required to ensure high standards are met
- Supervising Helpdesk ensuring the Priority jobs are signed of daily
- Booking Temporary staff as required and ensuring Purchase Orders are issued to Agency for payment.
- Day to Day supervision to ensure Reception area is kept neat and tidy at all times
- Undertaking training and reviews of newly appointed staff as necessary to ensure they have full understanding of tasks required of them
- Undertake annual appraisals and six monthly reviews for Reception.
- Booking taxis on request
- Check all floors first thing to ensure all evening checks have been completed to standard required
- Weekly meetings with Account Lead Manager
- Arrange outgoing couriers on request
- Receipt, checking & distribution of deliveries as required
- Providing cover on either reception desk as required
- Processing, Issuing & cancellation of security passes
- Overseeing & supporting the setting up hospitality bookings as required.
- Booking Meeting rooms as required
- Ensuring all meeting rooms, Quiet Rooms & Resource areas are kept neat & tidy at all time and ensuring stationery, flip charts replenished as needed in these areas.
SWITCHBOARD
- Operate the switchboard effectively and efficiently within published guidelines
- Report telephone faults immediately
- Maintain the telephone directory
OFFICE SUPPORT
- Liaising with contractors, suppliers, brokers etc
- Maintaining computerised records ensuring they are kept up to date including entering data as required.
- To issue sign off, and run reports for PPM tasks on Service Insight CAFM system
- Supervising business cards, ensuring correct information is sent to printers
- Carry out monthly Quality checks with Cleaning Manager
- Processing of invoices and Issuing of Purchase Orders as required
- To support and provide cover for other facilities roles within own competence
- To provide administrative support to Client & Account Lead Manager
- Any other reasonable duties as required
