Job Description:

  • Process all meeting room requests efficiently and in line with the client meeting room management system.
  • Contribute to the standardisation of processes to help make conference and reception duties most efficient.
  • Remain compliant with on site and online training requirements.
  • Meet and greet visitors using the in house visitor management system.
  • Give a five star Front of House welcome at all times.
  • Ensure you meet the standard operating procedure guidelines and adhere to the Team Member and Personal Presentation Policy at all times.
  • Carry out regular checks on client suites and floors. Report any issues to the Facilities Helpdesk.
  • Provide a service for events management including support and organisation of events and liaison with internal stakeholders.
  • Manage visitor belongings within the Client Conference Suite.
  • Use correct telephone etiquette.
  • Keep an up to date client contact list and distribution list as required.
  • Be compliant with Security protocols and use operating systems in accordance with client protocols
  • Complete daily inspections of meeting room equipment, including lighting, fixtures and fittings - reporting any issues to the Facilities Helpdesk.
  • Regularly liaise with on site contractors and specifically the hospitality and catering manager in terms of daily operational requirements for the meeting rooms.
  • Book taxis for internal and external clients as required.
  • Assist with first line AV requests and setting up presentations and rooms.
  • Control and issue flip charts, remote clickers and portable projectors.
  • Provide details of any stationery required for Reception/Visitor areas needs.
  • Maintain excellent working relationships with clients, customers and other on-site contractors.
