Overview of Role

Arcadis are now seeking a Receptionist/Administrative Support Officer to provide professional administrative support service to the Cambridge office supporting our Environment, Safety & Industry team and/or across the wider business as required.

Your Day-to-Day:

Full time reception and switch board cover:

  • First point of contact for visitors and clients
  • Receiving and transferring calls using Skype for Business
  • Managing the incoming and outgoing mail & couriers' deliveries/collections in accordance with site procedures
  • Arranging security passes for visitors and staff, where required
  • Manage the set-up of the meeting rooms for client meetings, ordering of catering services for client meetings
  • Office Inductions for new starters

Professional administrative services to include:

  • Typing
  • Production and formatting of documentation / reports
  • Entering expenses
  • Travel bookings (sometimes complex)
  • Room booking
  • Venue booking
  • Binding, copying, scanning
  • Input data to the relevant business systems ensuring the accuracy and integrity of information
  • Bid formatting
  • Access systems to process data and produce reports
  • Respond to and resolve enquiries and problems, judging when to pass complex queries on to or involve others
  • Answer routine queries from across the business
  • Where there is no Facilities Management role on site, then the Administrative Support Officer would be expected to carry out certain facilities duties which may include the following as well as other general facilities duties:
  • Fire Warden (desirable not essential)
  • First Aider (desirable not essential)
  • Liaison with the relevant supplier for photocopier maintenance and maintaining a level of supplies e.g. Stationery, tea and coffee etc.
  • Archiving
  • Supporting with office / business initiatives in the office

What You Have to Offer:

  • Qualification in relevant field of secretarial or administrative practice (desirable not essential) Vocational qualification by experience is acceptable
  • Sound experience working in an administrative support role
  • Professional and proactive approach
  • Experience working in a professional services firm
  • Highly proficient in all Microsoft programs including MS Word, PowerPoint, Excel, Outlook and Adobe Acrobat
  • Client relationship management skills
  • Excellent business English both written and oral
  • Ability to handle multiple confidential/private information and tasks at any given time
  • Team player
