Reporting to the Office Services Manager, the Receptionist will provide a professional and effective reception service at Triodos' UK Head Office, undertaking clerical and administrative duties as part of the Office Services team. Other main areas of responsibility are to:

  • Monitor and operate the front door, side door and car park entry system for visitors and keep a record of visitor arrivals and departures and to issue visitor passes according to the prevailing visitor records system
  • Assist with face to face enquiries from customers and enquirers in line with first level FAQ Schedule
  • Make sure the reception area and adjoining meeting and office space is kept tidy and properly stocked
  • Monitor the external CCTV cameras and to notify Office Services Manager of any security breaches or areas of concern
  • Screen the needs of customers and enquirers arriving without prior appointment, and to provide first level support where possible
  • Maintain a record of visitors to the bank, whether scheduled or arriving without prior appointment
  • Maintain access to the internal and external door entry system, issuing passes for new starters and removing leavers as instructed by HR and other departments
  • Notify the outsource facilities management provider of buildings & facilities issues reported by co-workers
  • Book accommodation and travel as required for UK co-workers, international co-workers and other visitors, and to maintain records of account bookings for Finance.
  • Process inbound and outbound post
  • Manage the petty cash tin and make sure receipts are received
  • Manage the department shared mailbox and allocate to appropriate co-worker
  • Receive video conference requests on behalf of the branch. Confirm availability and make booking
  • Maintain documented business process instructions for all duties relating to the Receptionist role

The be successful in this role, you will possess strong interpersonal and communication skills, with a proven track record of working in a customer facing role. Excellent administrative skills and a good working knowledge of PC software, in particular Microsoft Office is essential, as well as the ability to plan and organise multiple workloads. In return for your commitment and hard work, you will receive a competitive basic of up to £18,000, depending on experience, plus a benefits package including:

  • Non-contributory pension scheme from your first day of 5% in year 1 and 10% from year 2 onwards
  • Life Assurance (worth 4 times basic pay)
  • Income Protection - 75% of basic pay after 13 weeks sick and following six months service
  • A wellbeing allowance of £100 a year
  • Private Medical Insurance
  • A Health Cash Plan
  • Vitality Leave - After each 7 years of service, you will be able to take a sabbatical of up 2 months paid leave
  • 25 days (FTE) plus bank holidays per annum
  • A buy and sell holiday scheme of up to 5 days (FTE)
  • Additional increase in holiday though length of service (up to 5 days FTE)
  • Season Ticket Loan available for commuting into the office
  • Voluntary benefits, including discounts and childcare vouchers
