The role

Front of House Operative (12 month FTC maternity Contract)


To deliver excellent customer service to exceed the client's expectations.

The role will cover a 40-hour work week between 08:00 - 17:00 or 09:00 - 18:00.

To flexibly work different shifts in line with team holidays and client events.

To be competent with the ability to change positions (reception/switchboard/helpdesk) at short notice in line with client demands and rotated shifts.

Your responsibilities will include:

  • Maintaining the professional image and reputation of the company in all contact with clients, suppliers and internal staff.
  • Managing the relationship of key client stakeholders and company personnel.
  • Ensuring switchboard services for colt are provided for during contracted hours.
  • Ensuring helpdesk services for colt are provided for during contracted hours and an effective handover to FM24.
  • Maintaining customer satisfaction at the highest level by providing a high quality and pro-active service.
  • Answering all telephone calls in a professional manner using the company script.
  • Operating site FM helpdesk system and log any issues and monitor progress.
  • Creating a variety of reports as and when management require.
  • Liaising with contract suppliers to ensure SLA's are achived.
  • Liaising with UK FM team of any issues or circumstances that will effect SLA's.
  • Liaising with Colt security regarding temporary passes.
  • Auditing all outstanding concept jobs to ensure accurate and timely completion.
  • Receiving and greeting all visitors to the building, including clients and suppliers. Contact hosts immediately to announce their visitor's arrival.
  • Ensuring that all visitors are logged into the building by following company's local security procedures.
  • Offering visitors refreshments and store coats and luggage as required.
  • Assisting with booking taxis and any other reasonable requests.
  • Managing meeting room bookings. Approval of boardroom/meeting room.
  • Supporting the contract management with various miscellaneous tasks.
  • Supporting with carrying out weekly site audits and monthly health and safety inspection, documenting and dealing with all issues raised.
  • Providing input/data into management reports, including the collation and verification of management information in line with contractual requirements.
  • Liaising with the facilities service providers, including hospitality, maintenance, cleaning and vending to ensure the overall service is timely and seamless.
  • Ensuring health and safety and evacuation procedures are communicated to all new starters and visitors attending site.
  • Being aware of all front of house service standards and work as a team to ensure they are met and exceeded.
  • Performing other reasonable tasks and duties requested by line management.
  • Working as a team to ensure the highest standards of service and technical support are delivered to clients, suppliers' and internal staff in all front of house operations.
  • Working with the regional team to share knowledge, improve business processes and raise the standards of performance in al front of house operations.
  • Ensuring personal presentation and grooming is of a high standard.
  • Ensuring your uniform is regularly cleaned and pressed and must be worn at all times.
  • Using quiet periods to perform audits and assist other facilities teams.

The requirements

Your experience, knowledge and skills need to include:

  • Previous experience in a corporate service or hospitality environment is advantage.
  • Excellent communication skills both in written and verbal, fluency in English is a must.
  • Excellent interpersonal skills especially in dealing with those under pressure.
  • Ability to challenge the process to identify new ways of doing things.
  • Experience handling difficult customers.
  • Ability to adapt to different priorities quickly and maintain good attention to detail to ensure image and standards are maintained.

Qualifications

  • Educated to GCSE or local equivalent level. A degree qualification is an advantage.
  • A general health and safety qualification is essential.
  • Professional memberships are an advantage but are not essential.
