Personal Assistant (Part-time, Office-based) 21hrs per week (Mon, Tues, Thurs and Fri)

Job Description

Support the Business and Innovation Manager with aspects of his role, including:

  • Proofreading correspondence and documentation
  • Pre and post-workshop admin (e.g. creating attendee lists, contacting participants, emailing follow-up resources, collating evaluation feedback)
  • Collating and sending out workshop resources
  • Responding to enquiries (external and internal) - face to face, by telephone, in writing and by email (using a mix of standard templates and personalised responses)
  • Maintaining and updating database
  • Updating social media

In addition, the successful candidate will be expected to:

  • Attend meetings and take notes
  • Manage shared team diary
  • Identify administration processes that could be improved and propose solutions
  • Manage stock levels: books and office supplies
  • Co-ordinate and handle incoming/outgoing post, arrange all deliveries and couriers
  • Adhere to appropriate standards of confidentiality at all times
  • Adhere to all relevant data protection principles when processing personal data

Person Specification

  • Excellent command of the English language - written and spoken
  • Excellent computer skills including MS Office programs (Word, Excel, PowerPoint)
  • Strong communication skills
  • Strong problem-solving skills - working enthusiastically and with creativity to analyse problems, developing workable solutions and identify opportunities for innovation
  • Adjust effectively to changing situations/priorities and demands, seeing change as an opportunity and being receptive to new ideas
  • Experience working within a team of staff
  • Ability to manage a range of tasks and to prioritise as necessary
  • Strong organisational skills, with a systematic approach
  • Genuine interest in the work and aims of the company
  • Ability to maintain a high degree of confidentiality
  • Excellent customer service
  • Excellent time management
