Job Description:

Market 36 Recruitment are currently recruiting for a Receptionist / PA to Directors for our client based in Maldon.

Key responsibilities:

Reception Duties:

  • Manning the switchboard, forwarding incoming phone calls and taking messages when required
  • Door control and greeting visitors, issuing visitor badges and making the host aware of their arrival
  • Managing meeting room bookings
  • Organising refreshments/lunch for visitors
  • Analysis of call systems
  • Ensuring all client areas are kept clean and tidy
  • Receiving and distributing incoming mail
  • Franking outgoing mail and parcels
  • Ordering office supplies/stationery
  • Organising office treats i.e. cupcakes, ice-creams, cold drinks etc
  • Managing the delivery of milk ensuring all fridges are topped up and reporting issues upwards
  • Uniform and boot ordering
  • Organising cars/taxis
  • Purchasing urgent items such as cleaning products
  • Ordering/printing security/access badges
  • Reviewing CCTV as and when required
  • Facilities point of contact in the absence of the Facilities Supervisor
  • Watering of the plants
  • General office duties including copying, printing, scanning & filing
  • Any other reasonable task required

PA Duties

  • Arranging travel and hotels obtaining all relevant paperwork for trips and providing itineraries
  • Completing expense forms
  • Diary management
  • Distribution of Board papers
  • Document preparation
  • Meeting preparation
  • Typing up of minutes, reports, agendas, memos and presentations
  • Organising office events i.e Annual Christmas party/ Annual summer party.
  • Organising and setting up conference calls
  • Inputting of data and updating spreadsheets and databases.
  • Assisting in certain project / research work that may be necessary on an ad-hoc basis.
  • Attending meetings and taking minutes if required.

Hours are Monday to Friday 8.30am - 5pm
